Team Parent Responsibilities

The Team Parent is a crucial member of the team, offloading many duties from the coach so he or she can focus on the players.  Although responsibilities may vary for each league, here are some general guidelines to help you with this new position.  
  • Create a roster spreadsheet including the following info for each player:

    • Player name
    • Parent name
    • Phone, cell phones
    • Address
    • Email address
    • Emergency contact information
    • Any other information required by your league
       
  • Use this spreadsheet to facilitate communication between the coach and the parents.  Each parent will need practice dates, times and locations, game dates, times and locations, a snack schedule and a copy of the roster spreadsheet. 
  • Make sure to let each parent know when Picture Day is and how to order picture packages. 
  • Also make sure each parent completes any leaque-required paperwork.  This helps the coach out tremendously and is a wonderful first step to being a great team mom or team dad.
  • Create a snack schedule for the games.  Decide if your team will have snacks during half-time only or also after the games.  Half-time snacks should be nutritious.  Orange slices and bananas are great snacks to keep the players’ energy going.  Be sure to bring a trash bag to clean up the peels and other garbage.
  • Create a Game Day Backpack.  This pack should include a current phone list, list of game dates, times and locations, snack schedule, an envelope to collect money, extra water bottles in case a player forgets theirs, ice packs, game cards if required by your league, anything else you can think of that may come in handy on game days.
  • Arrange an end-of-season party.  It is important to celebrate the team and each individual at the end of the season.  This could be held at a local pizza place, at someone’s home, or even a picnic at the fields after the last game.  Share the responsibilities for this job.  Ask parents to help with food and drinks.  Ask the coach to have a few encouraging words prepared to say about each player and about the team.
  • Choose and order trophies for the players and a gift for the coach(es).  When ordering trophies for younger children, start small so they can grow into the larger trophies.  See choosing the right trophy.
  • The coach gift can be as easy as a plaque with the team photo and some words of appreciation or a sports-related clip board for the next season.   If the coach has been around for a while, they may prefer a gift card to a local sporting goods store or their favorite restaurant.
  • You will need to collect money from each family to cover the trophies, coach gift, party and any other expenses for the season.  Most parents would rather pay one amount at the beginning of the season to cover all expenses, so plan accordingly.
  • With all these responsibilities, remember to have fun, enjoy the kids and get to know the other parents.
